A wild and unforgettable reward programme

When a private equity firm tasked us to create a high-profile branded incentive experience to reward its employees, we had one job: to design and deliver a once-in-a-lifetime programme that would raise the bar even higher than the company’s previous rave-reviewed event.

The Brief

We were engaged by an international private equity firm to design, develop and deliver a high-profile, branded incentive experience to reward and recognise its employees. The six-day programme would be split between the South African twin centres of Cape Town and Sun City, featuring a range of unique, exciting activities and themed entertainment in each location. As part of the programme, we were also tasked to produce the company meeting, to be held in Cape Town.

With a commitment to environmental and social responsibility, we were briefed to deliver creative dining experiences that met stringent animal welfare and sustainable farming criteria. This would require a signed declaration from all venues, hotels and caterers relating to the provenance of their produce.

What we created

We co-ordinated group flights from London, New York and Hong Kong, charter flights from Cape Town to Sun City, plus ground transportation, and luxury accommodation in all locations.

We created a bespoke activity programme in collaboration with local partners, which included game drives and guided game walks in Sun City. While in Cape Town, the itinerary included:

• Malaysian cookery course
• Robben Island tour
• Walking tour of Cape Town
• Sandboarding experience
• Kirstenbosch Botanical Gardens
• Hiking Lion’s Head
• Kayaking with penguins at Boulders Beach
• Fire walking on the beach
• Pre-party hair styling, make-up and mini massages for ladies
• Pre-party shoe shine and shirt press for gentlemen

A further highlight of the trip was a night under canvas in the heart of the South African bush in Pilanesberg National Park – a truly once-in-a-lifetime experience. We collaborated with a local supplier to build the luxury camp exclusively for the delegation.

Around the scheduled activities, we mindfully built in opportunities for relaxation as well as creative dining experiences each evening, and ensured that any individual delegate requirements were met as fully as possible.

Throughout the event itself, we managed the programme onsite, including VIP transfers and all delegate hospitality.

Having created a look and feel for the event, we produced a bespoke website through which we could invite delegates and build anticipation with pre-event communications and destination teasers.

 We designed and produced all materials for the programme, including branded folders, personal itineraries, pull-out delegate guide and maps, signage, charter flight tickets and menus. We also designed and sourced branded merchandise for the programme, including uniform, charter flight headrests, catering sleeves and ribbons and slippers. For the delegates’ stay in the luxury camp, we collated goody-bag elements including toiletries, hats, head torches and blankets. 

The Outcome

The programme was a huge success – not only achieving its objective of rewarding and incentivising the firm’s staff, but providing a completely unique experience from start to finish, with considerable wow factor.
